Proposal Coordinator

About the Role
We are seeking a highly organized and detail-oriented Proposal Coordinator to join our team in Horseheads, NY. As a Proposal Coordinator, you will play a key role in supporting our business development efforts by preparing and coordinating proposals, qualifications, and presentations for a variety of architecture and engineering projects in New York and Pennsylvania. This position requires strong communication skills, the ability to work collaboratively with multiple departments, and an eye for detail in producing high-quality submissions.
Key Responsibilities
Proposal Development: Coordinate, write, and edit proposal content for both public and private sector projects. Ensure proposals are clear, compelling, and tailored to client needs.
RFP Review: Review Requests for Proposals (RFPs) and Requests for Qualifications (RFQs) to determine project requirements and develop a plan to meet deadlines.
Collaborative Efforts: Work closely with architects, engineers, and project managers to gather necessary information and align proposal strategies with project goals.
Document Management: Maintain organized proposal files, templates, and resource libraries. Ensure all proposal documents are consistent, up-to-date, and easily accessible.
Graphic & Presentation Design: The creation of visually appealing and professional presentations, brochures, and qualifications packages.
Proposal Tracking & Reporting: Track proposal progress, manage deadlines, and ensure timely submission of all proposal materials. Provide regular status updates to management.
Client & Team Communication: Collaborate with internal and external stakeholders to ensure all requirements are met and submissions are aligned with client expectations.

Qualifications
Bachelor’s degree in marketing, communications, business, or a related field (preferred).
1-2 years of experience in proposal coordination, marketing, or related administrative support in the architecture, engineering, or construction industry (preferred).
Strong written and verbal communication skills with the ability to present ideas clearly and concisely.
Experience with Adobe Creative Suite (InDesign) and Microsoft Office Suite (Word, Excel, PowerPoint)
Ability to work on multiple proposals simultaneously and manage competing priorities with a high level of attention to detail.
Knowledge of architecture and engineering industry terminology and practices is a plus.
Strong organizational, time management, and project management skills.
Ability to work independently as well as part of a team.
